Why and How to Get Patients to “Apply” for Care

Last year I helped a number of Naturopathic Doctors change how they convert prospects into committed, paying patients by getting them to apply for care before they meet with them.

It’s been a game changer.

In the past, like most NDs, they allowed anyone to either request an appointment or instantly book an appointment or a free discovery session as their way of making it easy for people to get started working with them.

It was fine, people would book in, but too often they would find out that the patient either wasn’t the right fit for them or the patient wasn’t committed to the journey ahead that comes with a natural approach to health so it became a huge waste of time and effort.

In one case they even had a Virtual Assistant qualify their prospective patient before the doctor would meet with them, which was an improvement, but still came with it’s own problems. If the VA was having a bad day, often the patient didn’t move forward.

Once we implemented the “Apply for Care” strategy everything improved.

Because when you limit supply, demand increases!

When you make yourself available to everyone anytime, you are unintentionally lowering your perceived value—and attracting patients who aren’t a great fit. One of the most powerful shifts you can make this year is to move from open scheduling to an application-based care model.

When patients have to apply to work with you they feel; This care is valuable. Not everyone is accepted. Results matter.

An application process signals that you work with a specific type of patient and that spots are limited. This naturally increases demand, because people want what is not universally available. Patients begin to view working with you as an opportunity, not a transaction.

Applications Qualify Patients Before You Ever Meet Them

BY adding an application to your website with the right questions asked the right way, and prospects complete the application, they demonstrate:

  • Serious intent to improve their health
  • Willingness to reflect on their challenges
  • Readiness to invest time, energy, and money

By reviewing applications in advance, you can assess whether the patient’s goals align with your expertise, your care model, and your outcomes. This allows you to accept only those you can truly help—and confidently decline those who aren’t a fit.

In one doctor’s case she was able replace her VA because the application did the qualifying process for her saving her hundreds of dollars every week while still attracting more qualified and committed patients.

Why? Because the patient has already decided that your care is worth pursuing before the first conversation even happens. They arrive engaged, respectful, and committed—rather than skeptical or passive.
